Inventor drawing-package review checklist

Before a package leaves engineering, check that its models, BOM, parts lists, and exported sheets describe the same scope. This guide walks through that review using native Inventor tools.

1. Set the package scope

Write down the assembly file, intended model state or configuration, revision, and purpose of the handoff. State whether quantities are for one assembly, a subassembly, or a production batch. Make a short list of expected drawings and outputs before exporting anything.

Confirm that the assembly, drawing views, and parts lists reference the intended model state. Model states can have different properties, parameters, and BOM information; a familiar file name alone does not establish the configuration.

Keep a review record. For each open issue, note the file or sheet, what needs checking, who owns it, and its disposition. This is a workflow aid; apply your organization’s drawing standards and release-approval process.

2. Check the assembly BOM view

In the assembly, open Assemble → Manage → Bill of Materials. Confirm the view used by the drawing parts list: Structured keeps assembly organization; Parts Only presents parts without that hierarchy. For a Structured view, check the level settings as well.

  • Review component BOM structures, suppressed components, and zero-quantity rows. Make sure the inclusions and omissions match the intended handoff. For substitute or migrated model states, check whether the BOM is delegated from another state.
  • Check part-number merging. Different components sharing a part number can combine into one row; conflicting properties may show as Varies. Resolve the identity question before trusting the total.
  • Spot-check a known subassembly and a repeated component against the model. Explain unexpected rows rather than editing a displayed number just to make it look right.

3. Check quantity and units together

A quantity of 4 is only useful when its meaning is clear. Distinguish Item QTY (instance count), Unit QTY (the amount per instance), and QTY (their product). Unit quantity may be Each or be based on a physical parameter such as length. The standard parts-list QTY reports total quantity.

Illustrative check: four instances of a cut member with a Unit QTY of 750 mm give a total QTY of 3,000 mm. That differs from four pieces, and it does not establish how many stock lengths to order.

For a material list, verify material specification, stock identity, cut dimensions, quantity basis, and units. Keep required finished-part quantities separate from purchasing allowances such as kerf, waste, stock sizes, and spares. Record those assumptions with the person responsible for purchasing or fabrication.

Inspect static quantity overrides and verify their reason. If values disagree, trace the source parameter, configuration, and override before changing the exported table.

4. Review the drawing parts list

Open Edit Parts List and check its model state, columns, visible rows, filters, and any substitutions or grouping. Trace several entries back to the assembly BOM and compare their balloons on the drawing.

  • Static values: overridden cells do not follow changes to the corresponding source value. Review them deliberately; removing an override changes which value the drawing shows.
  • Model-state changes: Inventor can offer to keep or replace existing overrides when a view changes state. Verify the resulting parts list rather than assuming it followed the new state cleanly.
  • Filters: hiding a row usually does not change quantity. The Assembly View Representation filter has an Adjust QTY option that can count only visible parts. Check that option and label any view-specific quantity basis.

5. Update and inspect the drawings

Resolve required file references, update the source models, and then update the drawings. A drawing opened with Defer Updates can remain static while the model changes. Updating a drawing view does not itself update the underlying model.

Review every required sheet for the correct model state, current views, legible dimensions and notes, balloon-to-item matches, material callouts, and title-block revision information. Check the dimensions, tolerances, and manufacturing requirements required by your own process; a successful update is not engineering approval.

6. Verify the exported package

Choose the required PDF sheet range explicitly. Inventor distinguishes Current Sheet, All Sheets, and a specified range; sheets marked Exclude from Printing also depend on the Print Excluded Sheets setting.

Open the actual exported files. Compare sheet count and order with your expected list, then inspect revision labels, clipped text, symbols, tables, line weights, and readable detail. If a BOM or material list is a separate file, check that its configuration, quantity basis, and revision match the drawings.

Put the checked outputs in an unambiguous package folder. Keep superseded exports out of the handoff, and retain a record of unresolved issues and the required approval.

Final handoff checklist

Record an answer or an open issue for each line:

  • Assembly, model state, revision, and package purpose identified
  • Required drawings and output files listed
  • BOM view, levels, structures, and merged part numbers reviewed
  • Quantity basis, units, and material assumptions recorded
  • Parts-list filters, static overrides, and balloons checked
  • Source models and required drawing sheets updated and reviewed
  • Exported sheets and tables opened and checked against the package list
  • Open issues assigned; release decision recorded by the responsible reviewer

Where CADSync fits

CADSync is being developed to support Autodesk Inventor users with assembly discovery, selected-part review, and evidence behind findings. Its current focus is Inventor 2027. The aim is to reduce repeated information gathering while keeping the engineer responsible for decisions.

Recognition coverage is limited, and drawing publishing, BOM, and material-takeoff workflows are still in development. This checklist is a native Inventor workflow you can use independently of CADSync; it is not a claim that CADSync performs or certifies these checks.

See CADSync’s development focus and limits, or tell us which part of your review takes the most repetition. We’re gathering private interest ahead of a limited beta, with a paid release planned afterward.
